Connect parent companies, subsidiaries, customer locations and the people responsible for buying, technical approval and billing. Assign account ownership and keep each opportunity with the correct contracting entity and service location, especially when one customer has several sites.

Capture the business need, current systems, required users or locations, budget and decision process. Track demonstrations, technical assessments and proofs of concept with an owner and agreed success criteria. For connectivity offers, record the provider’s confirmed service availability before making a delivery promise.

Products, service packages and quotations

Structure hardware, licences, implementation work and recurring services in the quotation. Make quantities, contract duration, one-off and recurring charges clear; retain revisions, discounts and approvals. Generate consistent proposal documents. Assess complex bundle rules or usage-based pricing separately rather than treating them as a simple price list.

Carry the accepted scope, prerequisites, contacts and promised dates into onboarding. Track setup tasks, customer dependencies, acceptance and unresolved items. Bring delivery or activation status back from the responsible system so a won opportunity is not mistaken for a service already in operation.

Keep the customer’s products or services linked to the relevant site, contract, support coverage and renewal dates. Assign renewal follow-up before notice deadlines and track upgrades, added users, amendments and cancellation requests. Separate proposed changes from confirmed service and billing changes, and retain the approval history.

Link each case to the affected customer, product or service and agreed support coverage. Route work by product, severity or team; track response targets, escalations and customer updates. Connect engineering tickets where another system owns resolution, and keep approved knowledge articles available to the people handling repeat questions.

Partner sales and customer self-service

Where you sell through partners, organise referrals, deal registration and shared follow-up with clear account ownership. A portal can give authorised partners or customers access to their requests, documents and status updates. Define what each organisation can see before opening access; licensing and the portal’s role are agreed during scoping.

Billing, delivery and support integrations

Connect agreed customer, order, service and invoice references through the interfaces your systems provide. Establish which platform owns each record, how updates are matched and how failed synchronisations are retried or reconciled. Preserve identifiers during migration so sales and support can find the same customer without creating duplicates.

Pipeline, recurring business and service reporting

Review pipeline by product, territory or partner alongside onboarding delays, upcoming renewals and support trends. Agree how recurring contract value, invoiced revenue, expansion and cancellations are calculated. Keep commercial forecasts separate from recognised revenue and use validated billing data for financial measures.

We assess the data model, interfaces, licences and permissions before deciding what belongs in CRM. Start with a representative sale-to-service workflow, validate the handovers and train the teams who maintain it.

Questions to consider

Does this fit software companies, IT providers and telecom businesses?

Yes, with different priorities. A software business may focus on demonstrations, licences and renewals; an IT provider on projects and support contracts; a telecom business on customer sites, service availability and activation handover. We define the relevant workflow rather than applying one model to all three.

Do we need Salesforce Communications Cloud?

Not necessarily. Many account, opportunity and support processes can be configured in the Salesforce products you already use. Complex telecom catalogues, pricing or order orchestration need a separate assessment of product fit, licensing and implementation; they are not assumed to be included in a standard CRM project.

Can Salesforce manage subscriptions and recurring billing?

We can structure contract dates and renewal follow-up in CRM. Automated billing, usage rating, proration and revenue recognition are different requirements: they may stay in your billing platform or require additional products and integration. We agree the responsibilities before selecting a solution.

Can sales and support share customer context while keeping restricted data private?

Yes. We define account and record access, sensitive fields and portal visibility around the roles involved. The useful shared context may include installed services and open cases, while negotiated pricing or restricted documents remain available only to authorised users. Permissions must be tested with representative roles.

What should we prepare for an initial discussion?

Bring an anonymised example of a quote, contract and support request, plus the steps from sale to activation and renewal. List the systems that manage products, billing, delivery and support, and identify the handovers or repeated data entry causing the most work.
