A project can involve an owner, consultant, contractor and several suppliers before an order is placed. OOB Consulting configures Salesforce and connected applications so engineering firms and building-material suppliers can follow those relationships, commercial decisions and commitments in one place.
From project enquiry to commercial follow-through.
The person specifying a product may not place the order. Several contractors may ask for prices on the same project, while revised quantities or specifications change the offer. Connect each discussion to the right project, organisation and current proposal so your team knows what is being considered, by whom and at which stage.
Link the project, site and relevant organisations, including the owner, consultant, main contractor and purchasing company. Record each contact’s role and influence, and distinguish who specifies, approves, orders and pays rather than treating every person as the same buyer.
Track qualification, submission deadlines, required documents, clarifications and the next commercial action. Relate competing bids to the same underlying project so several contractor enquiries do not automatically become several expected project wins in the forecast.
For building-material sales, keep the requested product, finish, dimensions, unit of measure and relevant technical documents with the project. Track samples, proposed alternatives and approval status; distinguish a product under consideration from an approved selection or confirmed order.
Build branded quotations and PDF proposals from maintained customer, product and service records. Keep quantities, prices, discounts, validity and exclusions explicit. Track revisions and approval steps so the accepted version remains clear when scope or commercial terms change.
Pass the accepted scope, deliverables, key dates, documents and responsible contacts to the delivery team. Record later change requests with their commercial impact and approval status, keeping proposed additions separate from authorised work.
Connect customer orders and delivery updates to the project and site contact. Give teams a place to follow partial deliveries, missing items, replacements and warranty enquiries with an owner and next action. Confirm stock and promised dates against the system responsible for fulfilment.
Adapt Salesforce mobile views for the information your commercial team needs during a visit: contacts, project status, notes, photos and follow-up tasks. Keep visit records with the relevant project and test the agreed mobile workflow with representative users and devices.
Clean and migrate customer, project and product records, including duplicate handling and shared identifiers. Assess connections to finance, ERP or project tools so agreed order, invoice or delivery information can be consulted without maintaining conflicting copies. Define ownership, access and failed-update handling.
See open bids, quotes awaiting decisions, overdue follow-up and confirmed orders by project, territory or account manager. Review conversion and loss reasons, and distinguish estimated opportunity value from accepted orders and invoiced amounts. Bring in margin or collection figures only from validated financial data.
How we approach it
Keep commercial and technical responsibilities clear.
A CRM can organise project relationships and commercial follow-up while your engineering, estimating, scheduling and finance tools retain their own responsibilities. Agree which records belong in Salesforce, who can see confidential bids and pricing, and where technical documents are controlled. Start with one representative workflow, test permissions and train the people who will maintain it.
Does this cover building-material suppliers as well as engineering firms?+
Yes, but their workflows differ. A supplier may need specifications, samples, quantities and delivery follow-up; an engineering firm may focus on project stakeholders, tenders, service proposals and handover. We select the processes that fit your business.
Will Salesforce replace our project or engineering software?+
Not by default. We first identify what each tool manages and where commercial information is missing or duplicated. Salesforce can hold agreed project and customer context while specialised tools continue to manage drawings, calculations, schedules or costing.
How do you handle several bidders on the same project?+
We can link the commercial discussions to a common project and identify the organisation making each request. Qualification and forecast rules then distinguish competing possibilities from separate orders, instead of adding every enquiry to the expected revenue.
Can stock, invoices and delivery information come from our ERP?+
We assess the ERP’s available interfaces, identifiers and access rights before agreeing a connection. The integration must define which system owns each field, how often updates run and how discrepancies are resolved. CRM users should not treat an old imported stock figure as a current delivery commitment.
What should we bring to a first discussion?+
Bring an anonymised project example, a recent quotation and its revisions, the people involved in approving it, and the steps after acceptance. Include your current tools and the recurring follow-up problems you want to solve.
