Real estate

Every enquiry. The right property. A clear next step.

A property enquiry is the start of a relationship. OOB Consulting configures Salesforce and connected applications so your team can connect customer requirements, property information and agent activity throughout the sales or rental process.

Business workflows

From the first enquiry to the next decision.

When enquiries, property details and viewing notes live in separate places, an agent has to reconstruct the story before following up. A useful CRM brings that context together: what the customer needs, which properties were discussed, who owns the next action and what has changed.

01

Enquiries with an owner and a next step

Record the enquiry source, customer requirements and responsible agent. Define qualification stages and follow-up tasks so new enquiries and ongoing discussions can be managed in the same pipeline.

02

Properties connected to people

Structure property details, availability and relevant customer relationships. Link buyers, tenants, owners and their requirements to the records your team uses, with fields and views adapted to your brokerage.

03

Buyer requirements and property matching

Capture location, budget, property type, size and must-have criteria. Build a shortlist from current listings and keep each customer’s feedback against the properties considered. Review existing matching tools before designing custom rules.

04

Viewings and follow-up in context

Connect appointments, viewing notes and next actions to the customer and property. Help another agent continue a discussion with the relevant history, subject to the access rules you agree.

05

Offers, negotiation and closing milestones

Keep offers, counteroffers and agreed terms connected to the property and parties. Track outstanding documents, responsible people and expected closing dates, with a clear distinction between an active negotiation and a completed transaction.

06

Documents built from maintained records

Prepare property summaries and other agreed PDF documents from CRM fields. Define templates, required information and review steps so teams do not repeatedly copy the same details into separate files.

07

Data that can be trusted and connected

Plan the migration of existing contacts and properties, including field mapping, duplicate handling and validation. Assess connections to your existing tools against their available interfaces and the permissions needed.

08

Enquiry, property and team reporting

Monitor enquiries by source, overdue follow-up, viewings, offers and completed deals. Compare pipeline by agent or branch and identify listings that need attention, using agreed stage definitions and records your team maintains.

09

Controlled access to client and property details

Define what agents, branch managers and support teams can see or edit. Separate public listing information from private owner details, negotiation notes and commercial terms; test those boundaries with representative user roles.

10

Improve the CRM your agents actually use

Review layouts, automation, permissions and recurring support issues before adding more complexity. Prioritise changes with users, test them with representative records and support adoption after release.

How we approach it

Start with the way your brokerage works.

Your CRM should reflect your property model, team responsibilities and existing systems. We can assess an existing Salesforce environment, including Propertybase where it is already in use, before proposing configuration or integration work. Website and property-portal connections need a separate review of access, data ownership and available APIs.

How we work

Questions to consider

Do we need a new CRM?

Not necessarily. We first review your current setup and the problems your team encounters. A focused improvement to data, automation or layouts may be more useful than a replacement.

Can you work with our existing Propertybase environment?

We can review the Salesforce environment and the Propertybase configuration you use. The first step is to understand the installed packages, existing customisations, licences and access before agreeing changes.

Can we bring in existing contacts and property records?

Yes, subject to reviewing the source data. We agree the field mapping, ownership and duplicate rules, then validate a sample migration before moving the agreed records.

What should we prepare for a first discussion?

Bring an example enquiry, a typical property record and the steps from first contact to viewing and follow-up. A list of existing systems and the main difficulties agents face will help define a practical first scope.
